The Logistics Coordinator is responsible for providing both technical and administrative support, ensuring efficient operations and effective communication across all levels of the HaiSea organization.
Note: Due to business needs, this position is required to be fully on-site based at our Kitimat location.
What you'll do
Manage active calendars of appointments, and coordinate detailed travel plans, itineraries, and agendas for assigned business areas, liaising with external departments when necessary to ensure seamless coordination.
Compile and process expense reports, ensuring accuracy and timeliness.
Facilitate clear communication between the office, external groups, and internal departments, maintaining professionalism to uphold credibility, trust, and team support.
Provide support for daily activities, including word processing, data entry, material duplication, crew scheduling and invoice tracking using software such as Microsoft Word, Excel, and specialized company software.
Drive company vehicles to pick up crew, deliver parts and supplies.
Purchase and maintain an inventory of supplies for the Kitimat village office space, ensuring operational efficiency through coordinated efforts with internal departments for procurement and inventory management.
Regularly use and support staff in utilizing essential office software platforms, such as Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), project management tools (e.g., Trello, Asana), communication platforms (e.g., Microsoft Teams), and video conferencing software (e.g., Zoom, Microsoft Teams).
Coordinate with suppliers and vendors for shipping and logistics arrangements.
Prepare, format, and distribute agendas and associated materials for Board Meetings, Senior Leadership Team Meetings, and various other meetings using software such as Microsoft Word and PowerPoint.
Coordinate catering services for meetings, ensuring all logistical needs are met.
Provide technical setup and support for virtual meetings and presentations, ensuring seamless connectivity and functionality using platforms such as Zoom and Microsoft Teams.
Perform additional duties as assigned, adapting to various needs with flexibility and efficiency.
What you'll bring
Completion of Grade 12 education, plus post-secondary courses relevant to administration and technical support.
A minimum of 3 years of experience in an office environment, supporting various seniority levels, or an equivalent combination of education and experience.
Experience in a management position involving collaboration with unionized employees is a plus.
Class 5 driver's license.
A minimum of 3 years supporting logistics operations.
Intermediate to advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms.
Familiarity with office equipment and technical troubleshooting.
Ability to quickly learn and adapt to new software and technology.
Strong organizational skills with the ability to perform and prioritize multiple tasks with attention to detail.
Excellent interpersonal skills with the ability to build relationships across various partners.
Effective communication skills, both written and verbal.
Proactive approach to problem-solving with decision-making capability.

The estimated salary for this position is $67,500 - $82,500. In determining final salary, Seaspan considers many factors including the successful Candidate's skillset and experience as well as position location and internal equity. The final base salary offer will be at the Company's sole discretion and presented as part of a competitive total compensation package.
